ERP (Enterprise Resource Planning)

Before buying an ERP, you should first know that by definition an ERP application is based on at least one management method or technique (such as MRP with JIT, tracking on order, Projects or Budget, etc.). In Romania you will not get rid of accounting – accounting is the main control method. The Romanian accounting is 100% similar to the accounting applicable in France with the difference that the French have more analytical accounts.


French accounting is totally different from Anglo-Saxon Accounting (GAAP). While French accounting places the state in first place and company / manager and shareholder on the second place, Anglo-Saxon accounting (GAAP) take into consideration first the company + shareholders and their needs and then the state and taxation. The main management tool / technique in Romanian companies is the technique / method of tracking the account by balances sheet account and the turnover component as opposed to Anglo-Saxon accounting where the balance is tracked on the date.


Real time data

Data (NIRs, bills, transfers, etc.) are entered in real time simultaneously and concurrently from multiple remote locations. Data is instantly written into the unique database. Other users immediately benefit from: balance sheet, account balance, on-hand stocks, bookkeeping. No further periodic off-line / on-line processing or takeover of distributed transactions is required.

Full cost of supply

Using the FIFO method by allocating additional costs simultaneously on stock and accounting (the 3x class account must correspond to the balance and turnover with the value of items in the affected stores): allocate costs from various service invoices and transport bills; costs from DVI (customs + commission) are allocated; the invoice / customs duty containing customs VAT + customs duties is automatically formed.

Approval at Stock / Goods Transfer

The application must give you the opportunity to highlight goods in transit (account 481-482) and block the stock to the sender until confirmation of receipt to the recipient. Account 481x must show the balance if for example the merchandise left the location Location 1 but was not yet received at Location 2.

MRP (Material requirements planning)

MRP is the mechanism that will help you determine: which sales orders (with associated articles) from customers are recorded and are possible to be honored during the analyzed period (time horizon of 1-2 months or 6 months); which work orders must be released in production based on client orders? What production capacities will be loaded and how do we manage them, which are the narrow places? What materials / raw materials do we lack now in order to support our production and from which suppliers and how long can we make the supply.

Billing mechanisms

Which would include at least: managing customers on work points even if there is one fiscal code based in Bucharest but more delivery points; Managing multiple sets of bill numbers and notification per user / per work point; managing active price lists per client / item, etc .; Managing distinct specific billable benefits or together with stock items (charge fee, handling fee, packing fee, taxing fee, washing fee); lists or methods of granting global discounts per customer / item or punctual on the billing; invoice cancellation with initial invoice identification or without it.


Control and verification of notes from all sub-modules (Fixed assets, Clients, Suppliers, receipts, payments, STOC, Salaries, Production); easy processing through separate function of manual notes through EXCEL or from other systems such as salary program or other notes managed by other programs; Operate manual transactions directly on the account; generating and managing exchange rate differences (665/765) to pay / collect foreign currency invoices from suppliers and external customers; Working with accounting calendars for financial periods and on modules that close / open by administrators.

Variants of canceled invoices

Cancelled Invoice type issued with the variants: “total / integral with the original” - the program cancels automatically; “partial with original” - the program automatically cancels; “without the original” - where the items are manually inserted line by line.

Supplier / customer payment in advance control

The application must allow management of payments in advance to suppliers / 409 and clients / 419 by generating specific documents that will be closed with subsequent invoices and specific reports management.

Cash book

Daily cash book identification by: code-level, code-by-date IBAN / day; joining collections and coins in the same cash book; payment and / or extended receipt with: employee trademark, document / receipt number, document type; listing cash book with all the necessary attributes.

Other Payment Instruments

Other Client Term Payment Instruments (check, promissory note). There must be a way to manage payment / payment instruments/ collection on time instruments, especially in the customer area, allowing: check/promissory note highlighting; associating with check/promissory note a number of bills by blocking them to other casual receipts and moving the balance of 411 to the promissory note account pending 413/5112; correction / cancellation of check/promissory note recorded erroneously or unpaid on time by the bad customer.

Customers and suppliers analysis

Existence of analysis reports on clients and suppliers as follows: Client’ Balance with work point analysis, account, third party code; Client sheets with Work Point, Account, Terminal Code; Aging (Aging Report) - Complex report on the situation of outstanding balances on customers / suppliers on due dates, effective date (accounting), invoice date with dynamic analysis on more than 3 calendar intervals (30,60,90,120 days) .

Other reports

Detailed register book; cumulative register book; big book; account sheet; accounting balance 8-10 columns with account summary or detailed analytics: detail / account, synthetic / analytical, cost center details; accounting balance on workstations (factories or subsidiaries); declaration 390; declaration 394; buyers and dynamic sales journals, configurable with variable columns (AIC, LIC, Romania domestic operations: 9% VAT, 24%, services, reverse charge, etc.)


Inputs. Outputs. Reports: Stocks of raw materials, materials, finished products; Entry status by types of entries / accounts / warehouses; Situation of outputs by types of entries / accounts / warehouses; Buy OBINV, giving consumption OBINV (per trademark), transfer between brands (employees); the OBINV stock balance, OBINV per employee, etc.

Employee expense account control

The main pillar must be the employee's mark, which must be unique in the application and be the same as the one from: Staff, in the salary state / program and the debtor management modules, fixed assets, inventory objects in use. To be possible to manage the advances to employees 542 and may subsequently close with the bills from other third parties.

Fixed asset standard recording functionality (MF), amortization calculating on registers / locations / accounts / inventory numbers; reports: various analysis reports fixed assets scales, depreciation, fixed asset sheet, incoming / outgoing / transfers.

Notifications and subsequent final billing

Notifications to customers, other than delivery points with the subsequent invoice. This type of delivery operation has a great use in delivering to Carrefour / Metro supermarkets where 5 to 10 approvals are to be made monthly at the end of the month in a single invoice that will accumulate the above mentioned notices. Account 418 will contain a balance corresponding to unrecorded statements.

Simulation Structure Cost Roll-Up

The complete simulation structure cost roll-up of finished products and semi-finished products (in close connection with MRP), which includes: the complete ante-calculating cost at the finished product level; detailed ante-calculating cost on semi-finished components; detailed ante-calculate cost on material components and raw materials.

Integration with other programs

Other Miscellaneous Programs associated with the system with which the ERP must easily integrate: Intrastat, BILANT, after-calculation - specific analysis and configuration requires - separate mini-project because the post calculation of the customer X client never matches the situation of the client Y

The main challenge within this project was billing to hundreds of clients. It involves simultaneous real-time billing of 40 work points, including 5 large work points (Constanta, Bucharest 1 + 2, Oradea, Brasov). Sometimes the customer had thousands of daily bills issued at all workstations. Using the ERP application in CRESCENDO’ portfolio, bills are recorded in real time, so at the end of the day we have resolved the following activities: registering customer invoices at branch, account, sold item level.

It is ensured in real time the unloading of the goods management – the on hand stock, sheet storage, the stock balance presents the situation in real time. In addition, cash receipts / payments made through direct collection are highlighted in real-time in the application. Selling price control is made on the basis of special price lists set in the application in lei or currency. Inter-working points shipments are operated in real time, with confirmation of both the transfer notice with the expedition endorsement and the NIR-based receiving branch of the notice. These are only a few of the features that today Black Sea Suppliers use in their current business.
